What is collected
Booking reference, stay dates, applicant names and contact details, address, birth date and identification details where the association form requires them, electronic consent, signatures, signature-event hashes, and workflow status. Raw IP addresses, Social Security numbers, medical information, and ID-image uploads are deliberately not retained through this portal.
Why and with whom
The information is used only to prepare and quality-check the association forms and, after an explicit owner release, submit the package to Example Property Management / Example Condominium. Cloudflare provides the portal infrastructure. OpenAI processes the purpose-bound application data and generated document text in the United States for automated completeness and consistency review. Google Gmail is used only for an owner-approved submission email. Infrastructure credentials and unrelated personal data are not included in the AI review.
Retention and security
Sensitive wizard contents, including government-ID numbers and applicant signatures, and the reusable owner signature are encrypted by the application with AES-256-GCM before KV storage. Operational case metadata remains access-controlled but is not represented as application-layer encrypted. Private pages are marked no-store and noindex. Access links use high-entropy bearer tokens and must not be forwarded. Active guest case data is deleted 90 days after checkout unless a documented legal hold or mandatory recordkeeping duty applies. Temporary review files are deleted after processing. If a breach involving covered personal information is determined, the owner workflow requires the Florida Information Protection Act response plan, including notice deadlines and secure disposal.
Your choices
Do not enter information for another adult or sign on their behalf. To request access, correction, deletion, a paper alternative, or review without automated processing, contact Owner through the existing Airbnb conversation before submitting data.
